printer offline is a frustrating problem. “The Wi-Fi light is on, but my laptop still says the printer is offline.” If that sounds familiar, you are not alone. A lit Wi-Fi icon only confirms that the printer joined a network. Your computer may be on a guest network, using an old printer address, or talking to a stale WSD queue.
printer offline: quick checks
- Make sure the printer is powered on and has no paper jam, open cover, ink, toner, or cartridge warning.
- Check whether the problem affects printing, scanning, USB, Wi-Fi, or all of them.
- Use the full model name, including letters at the end. Similar model numbers do not guarantee the same driver.
printer offline fixes to try in order
- 1. Confirm the printer and computer are on the same normal network, not a guest network or an unintended Wi-Fi Direct connection.
- 2. Find the printer IP address from its network report or control panel. Enter that address in a browser; if the printer page opens, the network path is alive.
- 3. Open the Windows queue, cancel stuck jobs, and make sure Pause printing is not enabled.
- 4. Restart the Print Spooler service, then try a test page.
- 5. If the printer keeps changing address, reserve its IP in the router or add it in Windows by TCP/IP address.
What not to do
Do not download a mystery “driver updater,” install a package for a similar model, or delete every printer driver from an office computer. Those shortcuts can turn one broken queue into several. If a step needs administrator access, make sure you understand what it changes first.
How to tell where the problem is
- A Windows test page works: the driver and connection are probably usable; check the original app or document.
- The printer web page opens but printing fails: focus on the Windows queue, port, and driver.
- Nothing can reach the printer: solve the cable or network connection before reinstalling software.
- Only scanning fails: check the scanner driver and scanning utility separately from the print driver.

Still stuck?
If printer offline is still happening, write down the exact message, Windows version, connection type, and what changed just before the problem started. “Driver is unavailable after Windows Update on USB” is far more useful than “printer broken.” You can also review our Windows 11 printer driver installation guide and printer driver installation error guide.
